Tabletop Adventure Con

Exhibitor and Sponsor Agreement

This is the current agreement in place in order to help Sponsor the Tabletop Adventure Con or be an Exhibitor.

Sponsors have the ability, and are not required, to have a space to promote their business at a discounted rate. If they are interested in having a table space at the event, they will need to select that they are interested in both being a sponsor and exhibitor on the application. Silver through Diamond level sponsorships will come with special vendors spacing. Any and all gifts will be used to help facilitate the event, pay for items needed for the event, promote the sponsor on materials for the event, and to promote The Healing Road LLC and the Tabletop Adventure Con.

BOOTH RENTAL. A Booth will depend on the size of spacing you request.

2 Day Signature (20’ X 20’) Space $200:

  • 20’ X 20’ in the Gymnasium – Limited Space Available

  • May rent additional space in various sizes

  • Tables and chairs are included. Vendors can request additional tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a paper Sign with your name on it.

  • Entry into the event for up to 8 persons.

2 Day Premium (10’ X 20’) Gym Vendor Space $130:

  • 10’ X 20’ in the Gymnasium – Limited Space Available

  • May rent additional space in various sizes

  • Tables and chairs are included. Vendors can request additional tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a paper Sign with your name on it.

  • Entry into the event for up to 4 persons.

2 Day Deluxe (10’ X 15’) Gym Vendor Space $100:

  • 10’ X 15’ in the Gymnasium – Limited Space Available

  • May rent additional space in various sizes

  • Tables and chairs are included. Vendors can request additional tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a paper Sign with your Logo on it.

  • Entry into the event for up to 4 persons.

2 Day Standard (10’ X 10"‘) Gym Vendor Space $80:

  • 10’ X 10’ space in the Gymnasium

  • May rent additional space in various sizes

  • Tables and chairs are included. Vendors can request additional tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a Paper Sign with your Name on it.

  • Entry into the event for up to 3 persons.

1 Day (Saturday) Standard (10’ X 10"‘) Gym Vendor Space $50:

  • 10’ X 10’ space in the Gymnasium

  • May rent additional space in various sizes

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a Paper Sign with your Name on it.

  • Entry into the event for up to 3 persons.

1 Day (Sunday) Standard (10’ X 10"‘) Gym Vendor Space $35:

  • 10’ X 10’ space in the Gymnasium

  • May rent additional space in various sizes

  • Tables and chairs are not included. Vendors can request tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • This space comes with electricity hook up. You must bring your own extension cord.

  • We provide a Paper Sign with your Name on it.

  • Entry into the event for up to 3 persons.

2 Day Small (7’ X 7’ ) Gym / Hall way Vendor Space $55:

  • Tables are placed inside of the Gym or in the Main Hallway. All Food sales must be in the Main Hallway.

  • Space for one 7’ table and 2 chairs (7’ X 7’)

  • Tables, chairs, and electricity are an added expense for this space. The Healing Road has to rent tables and chairs this year and will need to know if you need tables and chairs. The Healing Road LLC will give the cost of electricty to the Warsaw Community High School. Vendors can request tables and chairs through the Vendor space page or contacting djcervantes@healingroadllc.com

  • May rent additional spaces for the current going rate

  • Includes entry into the event for up to 2 persons.

1 Day (Saturday) Small (7’ X 7’ ) Gym / Hallway Vendor Space $35:

Vendors are limited to reserving a maximum of up to 4 Booth spaces, and must be adjacent spaces. Space must be finalized by September 30th.

TABLE STAFFING. Exhibitor representatives must staff their respective booth(s) during all hours that the Exhibitor floor is open to the public. Exhibitor floor hours can be seen below. If you cannot attend the entire event, please make arrangements with Convention staff prior to the Convention. A non-staffed booth is at the risk of the Exhibitor.

EXHIBITOR SETUP AND BREAKDOWN. The Exhibit area will open for setup on the Friday before the Tabletop Adventure Con at 6pm. All Booths must be ready by the time the Exhibitor Area opens. Breakdown can begin at 6pm and must be completed by 9:00 PM the of the Tabletop Adventure Con, If the exhibitor/ vendor is not staying for Sunday., Sunday Breakdown will begin at 4pm and must end by 6pm.

With special agreement, Exhibitors may set up their Booths after the Convention has started. The Exhibitor Area will be secured the evening prior to the event by the School locking up the school building and having security cameras in the areas of the table spaces and Saturday night of the event weekend.

EXHIBITOR DISPLAY. Once assigned a Booth space, Exhibitors may arrange their spot however they see fit to best advertise their wares. Please ensure that all displays are safe to aisle traffic and do not block neighboring Exhibitor’s Booths in any way. Keep all wares and advertisements within your provided space.

SALES POLICY. Booths in the Gym/T-RAC are for the sales of merchandise only (no food items), other than those who have special permission. Merchandise sales are restricted to the provided space. Exhibitors are prohibited from attempting to sell merchandise outside of the Exhibitor Area, unless otherwise approved, though advertising or flyer/coupon distribution is allowed, so long as said distribution does not interrupt any on-going games or events. We allow the sale of sealed collectable card Products. At this time we are allowing the sales of single card sales. This could change in the future. You may also advertise what cards you sell in your business.

Exhibitors will not be in possession of any illegal or adult items while on premises. This includes drugs, bootleg materials, alcohol, tobacco or pornographic materials. (As fantasy art can be risqué, it is acceptable so long as it does not portray explicit sexual acts.) No adult themed (pornographic, tobacco, alcohol, paraphernalia, or grotesque Adult) items will be allowed in any of the event areas.

INDEMNIFICATION.

Exhibitor and Sponsors shall defend, indemnify and hold the Tabletop Adventure Con and The Healing Road LLC harmless from any claim or lawsuit arising from any act or omission on the part of the Exhibitor, its agents, employees or assigns that may cause harm to others, including but limited to any and all claims or lawsuits arising from or concerning retail licensing and licensing, copyrights and patents of the merchandise sold by Exhibitor. In the event Tabletop Adventure Con and The Healing Road LLC takes legal action to enforce this provision and prevails, Exhibitor shall be responsible for the payment of all costs, expenses and attorney fees incurred by Tabletop Adventure Con and The Healing Road LLC in pursuit of such enforcement.

BREAKDOWN CLOSE:

For those who are not staying for Sunday your breakdown will begin on Saturday at 6pm and be completed by 8pm

Sunday Breakdown will begin at 4pm and must be completed by 6pm.
